Bookkeeper/Office Manager

Friends of the Library of Hawai‘i is a non-profit 501(c)(3) organization whose mission is to support and promote Hawai‘i’s 51 public libraries.

Hiring and oversight:  The Office Manager is hired and supervised by the Executive Director. While all duties are performed under the direction of the Executive Director, the employee for this position shall be willing to take initiative and work independently.

General Responsibility:  Responsible for the coordinating and coverage of the office including phone and walk-in reception, bookkeeping, record keeping/filing, volunteer program coordination, support of board committees, assistance with fundraising and other FLH events, as well as assume other duties as needed.


  1. Reception and Office Management:  Coordinate and cover the office including but not limited to phone and walk-in reception; process communications; maintain office data records; maintain office calendar; and maintain office equipment and purchasing supplies.
  2. Bookkeeping:  Maintain FLH books in QuickBooks and records, including but not limited to:
    1. Post transactions to appropriate budget chart of accounts
    2. Prepare deposits for checks received
    3. Process approved check requests for signature
    4. Maintain investment allocations (agency obligations, unrestricted, scholarship, and endowment funds) and balances
    5. Reconcile unrestricted, Board restricted, and permanently restricted funds
    6. Maintain the fixed asset register                   
  3. Board/Trustee Support:  Provide administrative support for Board of Directors, Board of Trustees, and committee meetings.
  4. Fundraising Support:  Assist in the support and coordination of all fundraising activities and associated tasks as needed. Coordinate volunteers.
  5. Bookstore:  Responsible for oversight of warehouse sales and for fulfillment of online sale orders. 
  6. Membership Program:  Responsible for database maintenance and all necessary communications with members.
  7. Volunteer Program Coordinator:  Coordinate year-round volunteer activities including orientation, training, recognition, and communications. Coordinate special events for volunteers including recruitment, communications, training, on-site management.
  8. Newsletter:  Assist in coordinating newsletter production to include authors, printing, distribution, emailing, and mailing.
  9. Scholarship Program: Coordinate with the committee chair(s) to manage the scholarship program to include receipt of application requirements, scheduling interviews, and committee communication.
  10. Accept additional responsibility as experience grows and as delegated by the ED.

Skills and Qualifications

  • Experience using Quickbooks accounting software and understanding of general accounting principles
  • Knowledge, understanding and skill in business, accounting and financial practices
  • Ability to work well with people; organize, schedule and coordinate donors, volunteers and activities; resolve problems and conflicts; professional demeanor
  • Ability to work independently and manage time effectively
  • Ability to establish priorities and manage multiple assignments with a high degree of accuracy and completeness
  • Strong organizational and problem solving skills, detail oriented
  • Self motivated with ability to motivate others
  • Ability to communicate effectively verbally and in written form
  • Strong customer service orientation
  • Experience in organizing and/or running fundraising events
  • Result-oriented, strives for excellence in all projects
  • Knowledge of the community in order to best represent the organization
  • Competency in the use of word processing, spreadsheet, database management, and bookkeeping software
  • High energy level, self-confident, and enthusiastic

Academic Requirements

College degree preferred

Special Requirements

Occasional need to work flexible hours

Able to lift 30 pounds
